Security of your Email accounts

With a company email account you want to be sure that your email messages are not on the street. That's why we at MijnHostingPartner.nl have taken measures to ensure that your email is and stays safe. Read all about it in this blog post!

Email is and remains an important means of communication for anyone working on a website, and even for daily use. With an email address from MijnHostingPartner.nl you can be assured that your email really stays in your hands. You pay us for the email service and therefore we do not share your emails or information with third parties. And we host everything related to email locally on our servers in Amsterdam or Utrecht. Your email data is not stored on external servers or services. This is a good thing in these times of often free email services that read your data, use it for advertisements or sell it to third parties.

Email security, our webmail

Our webmail is a powerful tool that gives you access to not only your email, but also a calendar and various collaboration tools for you and your team. In the webmail you can log in via a secure connection, with an SSL certificate this connection is secured. And can therefore also be used for example if you are in a cafe with free Wifi. If you do not use a secure connection then your email traffic can be seen by someone who is listening in on that connection.

The webmail is also divided into several layers, so you can give or take away certain administrator rights when a colleague joins or leaves. And email accounts can be stopped or closed, even without losing mail. This also ensures security from the inside.

SPAM is also a given of an email address, malicious will always try to get in. MijnHostingPartner.nl has an extensive SPAM filter which ensures that there is much less chance that this will be passed on. And we also have a lot of other measures for this, more on this at the bottom of the article.

Security of the base, the passwords and two factor authentication

The foundation of any security is the passwords you use. Therefore, we at MijnHostingPartner.nl have built in a password generator into the creation of mail accounts. This lets you easily and quickly create a strong password that can be used for the email account.

Two factor authentication can also be turned on for the webmail, then you get with your favorite authenticator app a temporary code that can be used to log in. However, this ensures that your email address can not be used in combination with other applications. For example, mail from Windows 10. So pay some attention to this to make sure you don't have to go through the settings again.

Security when setting up local mail programs

When setting up a local email program you must always ensure that you use the secure connections. This is for both incoming mail, IMAP, and outgoing mail, SMTP. As long as you use those two in combination with STARTTLS. Then your mail traffic is always secure. We also require a verification of username and password. This is to extra check for SPAM.

Keeping local email programs and software up to date

What is often overlooked when keeping your email hosting secure is the use of up to date software. There are a lot of users who still use outdated or abandoned software, for example, Outlook still from 2011. Or Windows live mail. This software is not safe to use anymore and should not be used. There are a lot of alternatives out there that are many times more secure and not prone to leaks as old software is. Therefore we at MijnHostingPartner.nl only recommend to use the latest software from reliable parties. And not to just set your email address on any haphazard software. For mobile we have excellent experience with Spark, which is also available for Mac. And on the fixed PC, the default mail for Windows 10 is a good option. Or paid, Outlook.

Further technical measures

As soon as your hosting is made active and you create an email account, DMARC and DKIM are also made active right away along with the other DNS records for the mail. What these records do is add an extra handshake to every email you send and receive. This ensures that your emails get an extra signature of trust. And email that you receive must meet certain security measures. Otherwise they will be put in the SPAM folder, bounced or marked. Read and listen all about it in our video we have about this:

If you have any further questions about your mail account and its security, you can always come online on the chat, or create a ticket to the helpdesk with your question herein. Then we will answer it.
